Workflow structure and operation
The Job application sample workflow used for job applications is composed of different process steps. After starting the workflow, the first process step is displayed or logged on the Workflow tab and at the bottom part of details view.
Files are sent sequentially in the Job application workflow, i.e. the respective file is forwarded from recipient to recipient in the order defined in the workflow (see below). After transmission starts the file is placed in the Inbox and Tasks folders of the first specified recipient; in this case, in the folders of the division manager, Development. After editing it, that recipient forwards the file to the next recipient. The last recipient completes the transmission.
The workflow is always initiated with the Reviewing step; all subsequent steps are variable, i.e. dependent on the decision by the respective recipient. The workflow process represented below is therefore only a possible operation.
The "Reviewing" workflow step
The Review job application task is assigned to the division manager, Development, Schreiber, Willi, who can open the file for editing from his Inbox or Tasks folder by clicking.
The task of this workflow step is shown below the tab selection. When it is complete, the workflow can continue by clicking Next step.
Clicking this button opens a dialog for selecting the workflow step to be subsequently performed.

Next step The selection list of this field is used to set the subsequent step and thus at the same time further operation of the workflow, because each step leads to adequate subsequent steps.

Comment This field lets you comment the selected step, e.g. in case of a prompt.
By selecting the Prompt step and confirming the dialog the file is sent to the respective consumer regardless of the step from which a prompt is made.
The "Prompt" workflow step
The file can be opened for editing from the consumer's Inbox or Tasks folder by clicking. The prompt is noted accordingly in the workflow log. The prompt text appears in the Comment column.
After completing the Prompt task the workflow continues by clicking the Next step button. To resume the workflow operation with the step in which the prompt was made, the associated dialog provides Back to previous step as the next step for selection.
By selecting this step and confirming the dialog the file is returned to the previous recipient, the division manager, Development, who can access the file from their Inbox or Tasks folder. The reply to the prompt was added to the workflow log in the Comment column and extended with the current workflow step.
After completing the Review job application task, the workflow continues by clicking Next step.
By selecting the Hiring request step and confirming the dialog the file is forwarded to the next recipient who again is the division manager, Development.
The "Hiring request" workflow step
The open file is directly updated through the forwarding process and the workflow log is extended with the next step.
After completing the Perform hiring request with applicant task the workflow continues by clicking Next step. The associated dialog then provides for selection only those steps that logically continue the previous step.
By selecting the Interview step and confirming the dialog the file is forwarded to the next recipient who again is the division manager, Development.
The "Interview" workflow step
The open file is directly updated through the forwarding process and the workflow log is extended with the next step.
After completing the Interview applicant task the workflow continues by clicking Next step. The associated dialog then provides for selection only those steps that logically continue the previous step.
By selecting the Accept step and confirming the dialog the file is forwarded to the next recipient. In this step, too, the division manager, Development is the recipient of the file.
The "Accept" workflow step
The open file is directly updated through the forwarding process and the workflow log is extended with the next step.
After completing the Send acceptance to candidate task the workflow continues by clicking Next step. Following acceptance, the associated dialog only provides the subsequent step Hire for selection.
By selecting this step and confirming the dialog the file is forwarded to the next recipient.
The "Hire" workflow step
The Start hiring process task is assigned to the personnel officer Condex Packaging Inc., who can open the file for editing from their Inbox or their Tasks folder by clicking.
You can initiate the hiring process directly from the file via the Start onboarding function on the Actions menu.
After task completion, the workflow continues by clicking Next step (see above). The associated dialog then provides only the subsequent step End process for selection.
By selecting this step and confirming the dialog the workflow is directly terminated.
After terminating the workflow the last step is to send the file to the workflow initiator, Rupp, Gerda. The initiator can access the file from the Inbox folder.
The "Reject" workflow step
The Reject workflow step is available for selection in the dialog as the next step both after reviewing and following the hiring request and interview.
This step is again addressed to the division manager, Development.
After completing the associated task the workflow continues by clicking Next step.
By selecting the End process step and confirming the dialog the workflow is directly terminated.
After terminating the workflow the last step is to send the file to the workflow initiator, Rupp, Gerda. The initiator can access the file from the Inbox folder.
