The following table provides an overview of the individual fields and their meaning:

Meaning

Type

This field is used to define the type of data transferred to a metadata field of the ECM storage: Field, Metadata, Variable or Report option.

Source Field ID

This field contains the field ID of the selected field of the ECM table.

Source Name

This field contains the name of the selected field of the ECM table.

Library/Storage Field Option

If more than one field are specified as the data source, the setting in this field can be used to define how to proceed with the data. Metadata is always transferred sequentially, i.e. the fields are populated in turn. If a field has been assigned two source fields, the setting in this field will define how to handle the existing field content when the field is populated for the second time. Either the data is combined in the field, or split again during import using the Splitting import option. The Additional Entry Field option ensures that the second field value is transferred to another line field. The Cut option is used to truncate the field content after a fixed length of 250 characters.

Mapping Code

An ECM mapping code can be stored in this field. The INCLUDE and EXCLUDE mapping codes can be used as (a) filter(s) during import. (By using the assist edit you can test the compilation of mapping code and parameters.)

Here you can specify a parameter that will be considered when mapping data. This field corresponds to the stored mapping code. (By using the assist edit you can test the compilation of mapping code and parameters.)

Journal line Entry Field no.

This field defines in which field of the document entries table the data of the respective line are written.

Field name

This field contains the name of the document entry field.

Account Type

This field controls which content the Account Type field receives in the document entries table. The account type can only be specified for Account no. or Journal Entry Field No. 4.

CRM Reference

Here you can select which field in the activity log entries to assign the field value of this line if a CRM Integration is used.

Mandatory Field for Entries

If this option is enabled, an entry in the On Hold Journal which does not contain any data in the corresponding field cannot be posted. It is a good idea to flag the process number as a mandatory field. This ensures that no document can be archived and posted without being assigned to a process.

Transfer Value for Assignment

This field refers to assigning documents via the archive document ID in the On Hold Journal. If the value Import is set in an import document definition line, the corresponding field in the on hold line will be overwritten with the value from the archive during the assignment.

Transfer Value for Process

This field is used to control exchanging information between the different document entries that belong to a process. An archived Microsoft Dynamics 365 Business Central document is placed into a journal prior to creating a document entry, so that it can be assigned a process. Prior to posting the document, other documents with the same archive document ID are searched for. The record of the pending document is then synchronized with the data of the recent document entry that is found in the verification run Monitor for Import. Synchronization is performed per metadata item according to the logic set here:

  • Empty: There is no data transfer of document entries to journal lines.

  • Supplement: If the corresponding field in the record of the posting journal line is empty, it will be filled with the corresponding data from the document entry.

  • Replace: Information of these fields is basically transferred to the journal lines regardless of whether or not data already exist there. Any data that already exist in the journal line are overwritten by data of the document entry.

ECM Repository/Library - Field ID

This field is used in the document definitions and determines the target field in the ECM storage. With import document definitions, this field is equivalent to the Source Field ID field.

This field is used in the document definitions and determines the target field in the ECM storage. With import document definitions, this field is equivalent to the Source Name field.

If in the Type field you have selected the Field setting, you will have to specify, in the Source ID field, the index field from EASY Archive / Microsoft SharePoint from which data will be transferred to the EASY for Dynamics 365 BC On Hold Journal.

The process number must be manually assigned to the record after scanning. The other information External document no., , Ord e r no., , Project no., Vendor, Customer, Addres s s code, , Contact no., and Document no. is then transferred from other document entries that belong to the same process. The logic governs that was defined in the document definitions for the respective Microsoft Dynamics 365 Business Central vouchers (see the explanations for the Transfer - Value Process field in the document definition lines).

For data transfer from "Export" document entries to "Import" document entries, the settings in the document definitions are decisive.
