ECM Time Calculation Methods

The Time Calculation Methods or time calculation codes are used in the document definitions and in the ECM Task Scheduler. They can be individually defined for each document type and task.

Time calculation methods are used to determine when the actual storage/archiving or another task should be performed. There are four versions:

  • Immediately

  • Every day at a fixed time

  • Asynchronous

  • Cyclic

Every day at a fixed time

The task will be performed every day at a fixed time, preferably outside of business hours, in a batch process. For this purpose, you have to set up a time calculation method, e.g. in the following format:

The following table provides an overview of the individual fields and their meaning:

Field

Meaning

Fixed Time

The time at which all the documents to be saved/archived will be passed to the archive is entered in this field.

Date Calculation

The time interval at which the saving/archiving will occur is set in this field. To do this, you need to enter a date formula that is valid in Microsoft Dynamics 365 Business Central, e.g. 365D (for daily) or 1W (for weekly).

Asynchronous

Storage / archiving is performed in an asynchronous manner. The desired length of time necessary must be entered in the Time Surplus (in minutes) field.

Cyclic

Enabling the Cyclic option is intended for saving/archiving analyses or reports. The document definitions can be used to initiate the regular creation of all kinds of analyses – e.g. monthly account lists and the like – which are directly archived. To do this, you have to set up a separate document definition using the usage type Report, which is assigned a time calculation code of the Cyclic type.

In this field, you need to set the time interval at which the report creation and saving/archiving will be regularly performed automatically from the Starting date onwards via a date formula.

Starting Date

These fields let you define the time period in which regular report creation will be triggered. In the Starting Date and Starting Time fields, you have to define the time at which the report will be initially created and archived.

If necessary, the validity period for the time calculation method can be limited via the Starting Date and Ending Time fields.
